Monitoring a budget

When it comes to monitoring a budget for a business, the key is to keep accurate records. Without those records, monitoring the business budget becomes impossible.

Monitoring a business budget is much like monitoring a personal budget with only a few key changes. One of the most important aspects of monitoring a business budget is to closely track all transactions. That largely comes down to having a good bookkeeping and accounting system, but it also means that the requirements of those systems are adhered to.

Keeping in mind that a personal budget is a very fluid document that probably changes regularly, you should be willing to make adjustments to the business budget as well. For example, if your business is related to transportation or includes delivery services, the amount budgeted for that part of the business will change as fuel prices change. Since that costs will likely vary every month, your business budget will have to change to reflect those needs.

Remember that some expenditures in your budget will be optional and some will not. If your business is dependent on transportation, you have no control over the cost of fuel. Your budget will have to change to reflect that cost. Utilities, repairs and even labor costs can sometimes fluctuate wildly from one month to the next and your budget will have to be continually updated with those fluctuations. By the same token, a good business person will need to keep track of the income, making sure that prices charged are sufficient to cover those fluctuations (if the changes are permanent). Your budget will also have to be flexible enough to cover minor changes that occur now and then.

Monitoring the budget becomes an effort in bookkeeping. If you have a good system in place to track expenses and income, you’ll have an easier time of monitoring your budget. Be sure to continually compare actual costs and income with projections. If you see trends that indicate permanent change, be sure to update your budget to reflect those changes.
